HLK TRAINING RULES 2024-2025

Upon receiving a training time in the 2024-2025 winter season training groups, the player/guardian agrees to abide by the following rules:

1. Season

The training season begins on August 12, 2024, and ends on June 1, 2025, for juniors and on June 15, 2025, for adults.

Note! There will be no training on:

  • Independence Day, December 6, 2024
  • Christmas break, December 23, 2024 – January 1, 2025
  • Epiphany, January 6, 2025
  • Easter, April 18-21, 2025
  • May Day, April 30 – May 1, 2025
  • Ascension Day, May 29, 2025

Any exceptions to the training schedule will be announced on the homepage of HLK’s website. Training continues in the same groups after the Christmas break without separate notification.

2. Termination of Training Mid-Season

The player/guardian commits to the 2024-2025 training season with a four-week notice period. Termination notice must be sent in writing via email to Esa Kinnunen at esa.kinnunen@hlk.fi. The player/guardian is required to pay training fees during the notice period. The notice period is calculated from the date the termination notice is sent. Written notice must be sent by email. Please note that club membership must be terminated separately (see Section 9).

3. Absences Due to Illness During the Season

In the event of long-term illness or injury, the player/guardian is not required to pay training fees beyond a two-week deductible period. A doctor’s certificate is required. The deductible is calculated from the date of notification, which must be sent by email to esa.kinnunen@hlk.fi.

4. Training Group and Group Changes

Training times will be posted on Tennisclub, HLK’s electronic customer account system. The player will receive an email or other message when the training times are available on Tennisclub. HLK reserves the right to charge a one-month training fee based on the weekly rate if the player does not accept a confirmed training spot and fails to cancel the confirmed training time.
It is possible to change groups during the season if there is space in another suitable group. In such cases, the training fees will be adjusted according to the new group’s training sessions starting from the date of the change.

5. Training Fees

For the winter season, junior training fees are calculated by multiplying the actual number of training hours provided by the club by the hourly rate. In U10 training, fees and hourly rates are determined by the number of weekly training sessions. The number of billable training hours is affected by the weekly training amount and the hours canceled due to holidays and breaks, but not by the number of times the player attends the training sessions.

6. Payment of Training Fees

The player (or the guardian for players under 18) agrees to pay the training fees specified in Section 5. This obligation is not affected by the number of sessions the player attends. The season is billed in four installments, two in the fall and two in the spring, to the email address provided by the player/guardian.
If the player requires special billing arrangements, they should contact the office via email at toimisto@hlk.fi.
Email address changes must be made in Tennisclub.

7. Absences from Training and Compensation

In junior training and U10 activities, absences are compensated using Tennisclub’s compensation system. Compensation for absences is thus the responsibility of the player. The stored training sessions are valid until the end of the current year or as long as the player remains a member of HLK. For long-term absences, the player may be eligible for a fee waiver under the conditions stated in Section 3.

8. Communication

Information related to training will primarily be communicated on the club’s website at www.hlk.fi and via email.

9. Membership

Training is provided only to HLK members. Upon starting in the club’s training groups, the player automatically becomes a member and commits to paying the membership fee. The membership fee is valid for the calendar year and is automatically renewed for the following year unless the player cancels their membership. Players who start training after July 1 are only required to pay a half-year membership fee. To resign from the club, the player/guardian must cancel the membership separately by sending an email to toimisto@hlk.fi.

10. Customer Information

All customer information is handled confidentially. We use customer data to manage customer relationships. Information is not shared with third parties. Please refer to HLK’s member and customer registry privacy policy.

11. Photography

During the season, training sessions may occasionally be photographed for club advertising. If a player does not want their photos to be used in HLK advertising and publications, they can change their photography permission in Tennisclub.

12. Suspension of Training Activities

If HLK is forced to suspend training activities due to unforeseen circumstances (force majeure), the following procedures will apply. If the suspension lasts less than one month, HLK will add the canceled sessions to the customer’s compensation system or offer alternative training later when activities resume. A suspension of less than one month does not entitle a refund of training fees. If the suspension lasts more than one month, a refund will be provided for the portion of the training fees that exceeds one month.
